The Project Coordinator functions as the internal control point for projects.  They are responsible for managing project tasks and timelines, trafficking work through the agency and maintaining accountability between the production team and account management. This role involves monitoring project plans, schedules and work hours, facilitating meetings, documenting project requirements and feedback, and maintaining ongoing communication with the production team.  

The Project Coordinator must be a strong communicator, possess exceptional organizational skills and have prior agency experience.

responsibilities:

· Draft creative briefs and ensure there is a common understanding of objectives among the client, account managers, and production team

· Set, communicate and monitor deadlines for key tasks

· Ensure that the production teams has all they need to do their work (e.g., the right files, creative brief, clear deadlines, etc)

· Keep the production team on track and push them to meet deadlines without negatively impacting quality or overtaxing creative resources

· Warn account management if a deadline looks like it’s going to slip

· Ensure quality by making sure proofreading and QA is done in a timely fashion (and that enough time is allowed for these things to happen)

· Maintain organization of agency's digital files, meeting notes and assets

· Run monthly time reports by client and project to assess time usage, and assist with future project scoping

· Assist with client and employee onboarding

· Facilitate internal project planning and review meetings

· Document and follow up on important action items from meetings

experience & skills:

· Minimum of 2-3 years agency experience required

· Prior experience in a project coordinator or similar role preferred

· Exceptional verbal, written and presentation skills

· Must have experience working in Asana or similar project management software

· Strong analytical and problem-solving abilities

· Team management and leadership skills

· Preference given to candidates with working knowledge of project management methodologies
